Vacancy for Receptionist

Koinonia Community is seeking to fill the position of a Receptionist as detailed below;

Reporting line: Project Manager   

Job Title: Receptionist

General Purpose

Attend to visitors and deal with inquiries on the phone and face to face. Supply information regarding the organization to the general public, clients and customers.

 

Main Job Tasks and Responsibilities

  • Welcome persons entering organization and direct them to correct destinations

  • Provide information to callers over the telephone and transfer calls to the appropriate persons

  • Provide information regarding activities or services of the organization

  • Update employee contacts, project directories and visitors’ records

  • Monitor visitor access and maintain security awareness

  • Perform basic bookkeeping, record keeping duties and assist visitors in filling out forms

  • Complete procedures when guests arrive and depart as well as facilitate payments

  • Sort and distribute incoming mails, office correspondence as well as pass messages to guests

  • Assist in resolving clients’ issues, complaints and special requests

  • Update shift diaries and report maintenance issues

  • Order and manage inventory relevant to reception supplies and equipment  

  • Schedule, reschedule and cancel client appointments with staff or organization representatives

  • Organize conference and meeting room bookings as well as organize catering services

  • Liaise between departments and projects as well as provide general administrative and clerical support

  • Maintain the telecommunication and security systems by following manufacturer’s instructions

  • Maintain safe and clean reception area by complying with procedures, rules, and regulations.

  • Contribute to team effort by accomplishing related results as needed. Maintain continuity among work mates by documenting and communicating actions, irregularities, and continuing needs.

  • Perform any other duty assigned by the manager

 

Minimum requirements

  • Diploma in hotel and catering.

  • Certificates of good conduct

  • Strong interpersonal, organizing and communication skills with attention to detail

  • knowledge of computer, administrative and clerical procedures

  • Good customer service, information management and problem solving skills

  • Must be able to work extra hours and under pressure

  • Not less than 1 year previous work experience

 

Terms of Employment:

  • I year Renewable Contract

  • Probation period for the first 3 Months
